We are committed to protecting the privacy of everyone we work with — families, referrers, volunteers and website visitors. This policy explains how we handle personal data in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
1. Who we are

2. Information we collect
- Referral information: referrer contact details, family initials or case reference, borough, children's ages, sizes and needs, and any information needed to keep people safe.
- Volunteer applications: name, contact details, availability, interests and, where relevant, DBS check information.
- Enquiries: name, email, phone number and the content of your message.
- Website data: basic technical information such as IP address and browser type, used for security.
3. How we use your information
- To prepare and deliver bundles of essential items to families
- To communicate with referrers about referrals
- To recruit, train and support volunteers
- To respond to enquiries
- To meet our legal, safeguarding and regulatory obligations
- To produce anonymised statistics about the impact of our work
4. Lawful basis
We rely on legitimate interests (delivering our charitable purposes), consent (for example, when a family agrees to a referral), legal obligation and, in safeguarding situations, vital interests or substantial public interest.
5. Sharing your information
We never sell your data. We only share information with the referrer involved in your case, or with statutory services where we are legally required to or where there is a risk of serious harm to a child or adult. Trusted service providers (such as our email host) may process data on our behalf under appropriate agreements.
6. How long we keep data
Referral records are kept for up to three years, then securely deleted. Volunteer records are kept for the duration of volunteering plus two years. Enquiries are deleted after twelve months unless an ongoing relationship exists. Safeguarding records may be kept longer where required.
7. Keeping data secure
We use password-protected systems, limit access to those who need it, and train all volunteers in data protection and confidentiality.
8. Your rights
You have the right to access, correct, erase or restrict the processing of your personal data, to object to processing, and to data portability. To exercise any of these rights, please email us. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.
9. Cookies
This website uses only essential cookies: a session cookie to keep forms secure, and a small preference stored in your browser to remember that you have seen our cookie notice. We do not use advertising or tracking cookies. If we introduce analytics in future, we will update this policy and ask for your consent where required.
